How do I update my terms of service and privacy policy

Links to your terms of service and privacy policy sit in the footer, on every page of your site. Hardly anyone reads them cover to cover, but when someone does click, they should land on the current text — not on the message "Treść strony nie została jeszcze dodana" ("The page content hasn't been added yet"). That's exactly what a visitor sees for as long as the document in the panel is empty.

Where to find them in the panel

Both documents have their own section in the menu, set apart from the rest by dividing lines: above them are pages like Homepage (Strona główna) and Contact Details (Dane kontaktowe), below them the lists of entries. The items are simply called Terms of Service (Regulamin) and Privacy Policy (Polityka prywatności). Each exists as a single copy, so you can't add a second policy or delete the terms — you can only edit them (more on that in one page, or a list of entries?).

Who writes the content

The content of these documents is always prepared by your lawyer. We don't write them, we don't check them against the law, and we're not responsible for what they say. For the initial rollout, just send us the finished texts — we'll add them to the site before it goes live. We cover the split of responsibilities in more detail in GDPR and cookies.

Pasting in the text from your lawyer

Lawyers usually send documents as Word files or PDFs. Open Terms of Service or Privacy Policy in the panel, select all the text in the file, copy it and paste it into the Content (Treść) field. The editor usually carries over bold text and lists, but paragraph numbering has a habit of going astray, so read through the result from top to bottom. Set the section titles ("§ 1. General provisions") in the editor as "Heading 2" (Nagłówek 2), and any sub-points as "Heading 3" (Nagłówek 3) — that way a long document can actually be read, instead of scrolled through like a wall of text. Don't use "Heading 1", which belongs to the page title, or headings 4–6, which look like ordinary text on the site (how to use the text editor).

One thing that comes up a lot: don't paste the title "Terms of Service" or "Privacy Policy" at the top. The site shows it automatically in a large heading above the content, so it would appear twice.

These documents take text only. There's no room for photos or attachments here, and legal documents rarely need them.

When your lawyer sends a new version

Laws change, you add new tools — a booking system, say — and your privacy policy has to keep up. When you get a revised version, replace the whole content rather than editing it sentence by sentence — that makes it much easier to be sure the site shows exactly what your lawyer approved. If the document has an effective date, make sure that's updated too. Finally, publish your changes, or they'll stay in draft only (how to save and publish).

SEO

Both documents have their own SEO tab, described in how to fill in the SEO tab. There's also a "Hide from search engines" option there. Some people switch it on so their terms don't show up in Google instead of their services page. Once published, the document also drops out of the sitemap, but the page stays available at its address and through the footer link.
